Terms of Service
Last updated: August 5, 2026
Agreement
These terms are an agreement between you and Mail Monitor (“we”, “us”) covering your use of the service at mailmonitorhq.com. By creating an account or using the service you accept them. If you are agreeing on behalf of a company, you confirm you may bind that company.
The service
Mail Monitor reads public DNS records for the domains you add, parses the DMARC reports sent to the reporting address you configure, analyses messages you forward to us, and alerts you to changes and problems. It is a monitoring and reporting tool: it does not send your mail, does not modify your DNS, and does not block or filter incoming messages.
Your account
You are responsible for keeping access to your mailbox and account secure, for the activity that happens under your account, and for the accuracy of the information you give us. Tell us promptly at hello@mailmonitorhq.com if you believe your account has been compromised.
Acceptable use
You agree not to:
- monitor domains you neither own nor are authorised to administer, other than a one-off public check;
- use the service to attack, probe, or overload any system or third party;
- attempt to bypass rate limits, plan limits, authentication, or any other technical restriction;
- resell or redistribute the service without our written permission;
- upload unlawful content or infringe anyone’s rights.
Plans and billing
The Free plan is available at no cost and with reduced limits. The Pro plan costs $19 per month and is billed in advance through our payment provider, Polar, which acts as merchant of record for the transaction. Subscriptions renew automatically until you cancel.
You can cancel at any time from your billing settings; access to Pro features continues until the end of the period you already paid for, and we do not prorate partial months. If the service was materially unusable during a paid period, write to us and we will work out a fair refund. Prices may change with at least 30 days’ notice before your next renewal.
Your data
You keep all rights to the domains, records, and content you bring to the service. You grant us the permission needed to process that data in order to provide the service. How we handle it is described in our Privacy Policy.
Availability and changes
We aim to keep the service available and accurate, but we may change, suspend, or discontinue features, and maintenance or outages can happen. Monitoring depends on third parties — DNS resolvers, mailbox providers, and the systems that generate DMARC reports — so we cannot guarantee that every change or threat is detected in time.
No warranty
The service is provided “as is”, without warranties of any kind, express or implied, including fitness for a particular purpose. Nothing here is legal advice or a guarantee of email deliverability or of protection against spoofing.
Limitation of liability
To the extent permitted by law, we are not liable for indirect, incidental, or consequential damages, or for lost profits, revenue, or data. Our total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the claim arose. Nothing in these terms excludes liability that cannot be excluded by law.
Termination
You may stop using the service and delete your account at any time. We may suspend or terminate an account that breaches these terms, or that puts the service or other users at risk, and will tell you why where we reasonably can.
Changes to these terms
We may update these terms; the date above shows the current version. For material changes we will notify you by email or in the app before they take effect, and continuing to use the service after that means you accept the updated terms.
